D-Max Engineering, Inc. is a small environmental consulting company seeking a permanent, part-time to full-time Administrative Assistant/Bookkeeper to join our team. Ideal candidates will have a high attention to detail and be flexible in managing a variety of tasks and working with several different internal project managers on a daily basis.

Job location and remote work
Some work will need to be performed in person at our office in Sorrento Valley, and some work can be performed remotely. We will work with the selected candidate to set a schedule that works well for both you and us.
Primary responsibilities
- General office/administrative responsibilities (such as keeping office supplies stocked, answering telephones, copying/collating/mailing reports, data entry, etc.)
- Preparing and sending invoices
- Accounts receivable and accounts payable, including paying bills and depositing checks
- Maintaining routine accounting records (income and expense) in QuickBooks
- Helping new hires with onboarding paperwork
- Managing company insurance (liability, workers compensation, etc.) and providing proof of required insurance coverage to our clients
Qualifications
- Strong organization skills, problem solving, and attention to detail
- Ability to perform basic financial and arithmetic calculations
- Knowledge of business English, including spelling, punctuation, grammar, capitalization, and word usage
- Proficiency with MS Office, especially Word and Excel
- Excellent communication skills
- QuickBooks experience is a plus
- Past experience in environmental consulting or other professional services industries is a plus
